1. Planning the "HPS is Ready" document for lab management HPS Physics Readiness.docx
We reviewed the plan for the "HPS Physics Readiness" document. Maurik, Stepan, and John will write with help from others as needed. It will be brief, make a strong case for HPS physics readiness, and request final approval of HPS and time in the spring 2016 running schedule. We discussed just how much is needed in terms of understanding trident rates. We agreed that a rough understanding was adequate, and agreed to postpone a final decision until we see where we stand with tridents. We'll hope to submit around September 1. See the attached draft outline.

2. Dates for the next Collaboration Meeting
The CLAS12 collaboration meeting, beginning with a two day workshop, will be Oct. 19-23. Both Raphael and John had conflicts the week before, so we will plan the next HPS Collaboration meeting at JLAB for Oct. 26-28. Stepan will begin with preparations; we'll discuss this proposed date at the Wed meeting next week.

3. Toward the FY16 Shift Schedule

We want to provide the Italians a sharper picture of fall running, so they could request remaining available 2015 funds if travel were anticipated. After some discussion and information from Stepan, we agreed that HPS would tentatively be prepared to have beamline commissioning shifts starting December 1, and  full subsystem expert and regular shifts  starting December 11 until December 21. Time will tell how these possible shifts actually materialize. We still plan to have HPS fully operational prior to possible December running. Since there are large uncertainties, we will plan to run shifts with locals plus those who are able to make travel plans with little advance warning.  In particular, we do not foresee asking European collaborators to participate in fall shifts unless they have funds and can make travel plans with little advance warning.

4. Upcoming Reports from Subgroups

We reviewed the request made to the subgroup leaders in a recent Wed meeting HPS Subroup Reports for 2015.docx

There was general agreement that the requested homework was needed, and that reports to monitor progress on completing that homework should be scheduled as possible during August and September.

Two pieces are critical: 1)updating subsystem manuals and running procedures; 2)documenting the subsystems. We'll add "Slow Controls" to this list of subsystems.
