1. ERR Response status.

Stepan sent Patrizia the HPS ERR Response yesterday, and has already had indications from her that it is acceptable. Her committee should formally accept it in the next day or two, after which time we can submit our Beam Time Request. Special thanks to Stepan and Tim for their presentations to the ERR and preparation of the response and upgrade documentation, and to others in HPS, principally Kyle McCarty, Rafayel Paremuzyan, Matt Solt, and Matt Graham, who helped with the homework.

 

2. Finalize Beam Time Request.

John had raised the possibility of asking for additional time, beyond the 40 PAC days at 4 GeV, at the Wednesday meeting last week. Stepan had offered strong objections, saying it was unrealistic to ask for more than 1 of the (most likely) 4 available run slots (Spring/fall 2018, Spring/
Fall 2019).  John agreed that HPS should not ask for running before the entire upgrade is installed, which limits HPS running to calendar 2019 and makes asking for additional time unrealistic. Accordingly, he agreed that that we should request the 40 PAC day run 4 GeV, as we had previously discussed. EC concurred.

 

3. New Tracking Czar.

    The EC heard Omar's request to be relieved of his duties as Tracking Czar, understanding that his considerable  responsibilities in LDMX as well as HPS (the bump hunt paper and SVT upgrade and operations preparations) simply don't leave time enough for other major duties. Several people noted that Norman Graf, who is serving as Omar's deputy, is having a significant impact on tracking.  Accordingly, EC decided to thank Omar for his continued efforts on behalf of HPS tracking, and to appoint Norman the new HPS Tracking Czar. Omar will continue to consult with Norman as needed.

4. Collaboration Meeting Dates: Meeting room available Nov 6-8 or 8-10. OK?
Stepan nixed the November dates as potentially overlapping with a time that Hall B could be preparing for the fall 2018 run.

It has been hard to find a room during the proposed October dates (23-25, 25-27) because other meetings at SLAC are scheduled then.

We decided  to continue checking for room availablility for Oct 25-27. If that fails, the meeting could be moved to January.
